1. Complete the board onboarding forms

The board must complete the forms below to begin the transition process. Start with Getting Started and About the Property, then assign the remaining forms to the board member responsible for each area. The Treasurer can coordinate financial information; the Secretary can help with records and contacts; committee members can assist with their procedures.

Use current association information and identify pending issues or missing records. If a form does not apply or you cannot answer a question, contact Casey for guidance rather than leaving the requirement unresolved.

2. Coordinate the transition plan

After you submit the forms, coordinate with Casey on outstanding information and your community’s transition schedule. The plan covers records and contracts, banking and accounting, owner communications, system setup, service launch and follow-up. Timing depends on your management agreement, the records available and coordination with your outgoing provider.

Your six-week transition plan

We use your setup forms to collect information, organize records, prepare services and check everything before release. Casey coordinates missing items and confirms dates with your board. Timing depends on when complete records are received.

Week 1 · Start together

Your board submits the setup forms for the property, directors, committees, vendors and operating procedures. We confirm your management start date, assign your community manager, set up board communications and request records and starting funds from the outgoing provider.

Week 2 · Gather and organize records

We collect owner and property information, governing documents, contracts, insurance, financial reports and meeting records. We organize the association’s files, enter owner contact details and identify missing or conflicting information for your board and outgoing provider to resolve.

Week 3 · Set up the finances

We use the records and board instructions to set up bank and payment services, budgets, opening balances, vendors and invoice approvals. We also enter assessment amounts and collection procedures, and confirm who is authorized to review and approve payments.

Week 4 · Prepare community services

We prepare the community website and portals, maintenance requests, architectural applications and rule-enforcement processes. We organize service and meeting calendars, transfer vendor and insurance contacts, and document common areas, equipment and access needs during a site visit.

Week 5 · Check the information and access

We review imported owner and financial information, follow up on missing records and confirm the setup with your board. We check portal access, payment instructions, forms and service contacts, then prepare welcome messages and the member onboarding and board introduction schedule.

Week 6 · Public release and introductions

We release the community website and member services, send welcome letters and emails, and help members get started with portal access, payments and requests. At a board meeting, we introduce your management team and review how to work together, then complete the handoff to your community manager.

Does one board member need to complete every form?

No. The board is responsible for completing the submissions, but members can divide the work by role. Designate a board contact to coordinate answers and follow up on missing information.

What if records are missing or a form does not apply?

Tell Casey which records or answers are unavailable and identify who may have them. Ask Casey how to handle any form that does not apply to your community.

How long will the transition take?

The published plan outlines a six-week path. Your actual schedule depends on the agreed start date, scope of services, receipt of records and coordination with your outgoing provider. Confirm your community’s dates with Casey.

When should owners change their payments or portal access?

Coordinate the communication schedule with Casey. Owners should receive confirmed instructions before payment, portal, contact or maintenance procedures change.

Will service stop during the transition?

Prepare current contacts, governing documents, financial records, contracts, insurance, owner rosters, open projects, pending violations, legal items, and access credentials.

When should members be notified?

Members should receive clear instructions before payment, portal, contact, or maintenance routes change. The notice schedule belongs in the transition plan.
