About Committees and Task Forces

Volunteers Needed!

Your association's success depends on volunteer members and your assistance is needed.  Below you will find several task forces and standing committees to consider. 

You can get involved anytime.

Rules and Fines Task Force:
This task force shall annually review the rules, fines and dispute procedures of the Association.  The recommended chairman is a member of the Board and should consist of (2) or members.  Estimated duration of service is (2) meetings consisting of (2) hours.

Insurance Task Force:
This task force shall annually review the coverage of the Association and distribute for competitive bid. Review should be done with an insurance agent.  Any member or Director may perform this review, then submit recommendation to the Board.  Approximately (3) hours of work involved.

By-Laws / Covenants Task Force:
A task force is called to order to review and update the By-Laws and Covenants on an as needed basis.  A Director should serve as chairperson with as many members as possible.  The process begins with a review of all governing documents and then making a list of proposed changes.  Changes then are submitted to Board for review and if approved, an attorney shall draft changes for acceptance at an Annual Meeting.

Covenants Committee:
This is an on-call committee formed for the purpose of resolving fine and rule violation disputes.  No Board member may serve and committee should be composed of no less than (3) persons.  Any meeting will probably last 30-45 minutes with a written report submitted to Board of findings.

Architectural Review Committee:
This committee is formed to review requests and enforce the CCR of the Association.  It is recommended that the committee be member driven with limited authorities from the Board.  All ARC meetings must be recorded with written minutes and any member submissions (plans, request form, etc.) retained.  Typically this committee will meet upon request only. 

Contract Task Force:
This committee is designed for review and management of all recurring service type contracts.  Landscape, Pool Service, Security, Property Management are just a few of the typical recurring contracts of many Associations.  The purpose of this task force is to review the scope of services needed, prepare requests for proposal, screen vendors and make recommendations to the Board for the contract award. 

Budget / Reserve Analysis Task Force:
This committee is charged with itemizing short and long term spending plans for the Association and is probably the most important task force.  Every asset to be maintained or replaced should have an itemization pursuant to Fl statutes.  The operating budget should include reasonable expectation of income and expenses.  This committee will need to work in cooperation with the Contract Task Force. This Task Force should be willing to provide a detailed estimate of all association property as follows of all assets and then a working budget allowing discretionary expenses.

Community Involvement Committee:
This committee is designed for social events, neighborhood watch, yard sale and any community event effecting quality of life.
